Onboarding process

Other projects we currently have on the schedule must also be included in the planning since we are working on several simultaneously.

Wireframe 

It is the structure or rough structure of the web. After its creation, the client has a better visual idea of ​​the individual elements on the website. How the menu’s appearance will look, and where there will be texts, images, and contact forms. The feedback and approval process is ongoing. We will implement subsequent changes. The specified time is 1.5 weeks.

UX, UI design

In layperson’s terms means dressing the wireframe in colors or design. After receiving or creating a brand manual, the website will be part of the company’s visual identity. We will also inform the client of various web-wide animations and CTA buttons. Consider whether we will deliver the design in a mobile or desktop version.

The client often needs to realize that some animations and touches will work differently on mobile than on-screen. This will avoid problems when handing over the project. As an example, the mapping of the building is shown, which can be sensitive to its opening when scrolling the screen on a mobile instead of moving down. We have been working intensively on the design for two weeks and need the client’s fastest response. 

Development 

In other words, programming. When the design is carefully prepared according to the client’s requirements and in compliance with the standards, we can easily handle the entire development process within two weeks without the client’s input.

Content posting – data administration

There is an important rule when creating content. Before data administration, it is necessary to clarify what the content will consist of. There is then no unnecessary delay due to ambiguities or incompleteness. This mainly concerns visualizations, videos, photos, and texts.

Following the previous steps, the content will be ready for embedding in WordPress. It is also necessary to think about the final dimensions of the apartments and their confirmation by email. Sometimes changes occur after they have been inserted and must be processed anew. 

Project migration and handover

This includes finishing works, client training, web migration from a production to a live domain, and handover of accesses. Suppose you developed the design according to the client’s ideas and communicated everything precisely after the overall completion. In that case, there should only be room for minor adjustments beyond the scope of the original assignment.

It all sounds so beautiful and ideal, but we learned a lesson

Everything is approved by email or in writing. Definitely not over the phone! Otherwise, discrepancies beyond the scope of the agreed price offer may not be traceable.

The project is thus managed more efficiently. The client also assumes responsibility if the wireframe or design is not approved within the agreed time. The work of the programmer is thus automatically shifted. If the content is delivered at a different time than the specified time, the migration to the live version and the project’s overall completion is postponed.

Individual deadlines can be communicated more clearly, and the client can determine how much the project will advance without our communication. And that’s thanks to the percentage pie in the graphic above. He knows that we have finished, e.g., with a wireframe, and adds the necessary weeks to the completion of the project.

With the overall project completion date, it was not immediately clear why the project was delayed, and the client used to attribute the responsibility for the delay to us. If we make a mistake, we could compensate the client with a discount or by doing extra work at our expense. 

What tools do we use in management? 

In our company, we have tools that are used for various types of project communication. They help us function in cooperation with logic, and we work with substantiated data.

In the case of tasks beyond the scope of the assignment, we can visibly and separately invoice the statements at an hourly rate outside of the agreed amount for the work. The advantage is that you can invite a more technically proficient client to the project, and he has an overview of the budget or tasks being worked on. You can allow or deny him access to company know-how stored in the project. You can pin various links and quickly access stored information by linking.

Slack

Communication channel for quick questions or comments. In this case, however, we do not communicate anything vital because we need to have it in one place during the project + after a particular time, the chat gets dirty. 

Email

In addition to the already mentioned Freel, email is the most suitable form of communication with the client. Again, an important reminder: what is not “on paper” does not exist. For a better visual representation, we record video instructions. This way, the client can see where things are being edited. This way, we will also avoid unnecessary personal meetings, which usually drag on for a long time. 

Confluence

A tool for storing processes and instructions in a hierarchy with the possibility of quick search.

Conclusion of project management

After each project, we evaluate whether the margin has been respected and improve the processes. In compliance with the specified margin, the project provides space for a bonus. 

In this way, the team remains motivated by its initiative to create processes that make work efficient. We then store instructions and processes structurally and hierarchically.
